Introduction

This document describes a policy and procedure relating to letterhead. Its provisions apply to all units having funds administered by the University.

Operational considerations, including a layout guide and printing instructions, are described.

Certain terms used in this document are defined below.

  1. A logo is a letter, symbol or sign used to represent an entire word or phrase.

  2. A logotype is a single piece of type, printing plate, or equivalent faced with a term which is frequently used in a prescribed manner.
General

Only letterhead as described herein may be used for official University correspondence.

The presently copyrighted University Logo is used on letterhead.

  1. The Logo is displayed on letterhead as designed. Additions, deletions, obscurations, or changes to its design may not be made. The Logo layout includes a surrounding area which is devoid of design elements or type. Additions, deletions, obscurations, or changes to the surrounding area may not be made except for the inclusion of a single University Logotype line.

  2. Existing stocks of letterhead bearing the University Seal or the previous Logo may be used until exhausted. These stocks are replaced by letterhead bearing the current University Logo.

  3. The Seal of the University is not used on letterhead.
The University Logotype line is used on letterhead.
  1. The content of this line is the words "The University of Manitoba".

  2. This Logotype line is located in a defined position below the University Logo. Additions, deletions, obscurations, or changes may not be made to this line.
One additional logo may be optionally displayed on letterhead.
  1. An optional logo is one which has been recognized through copyright by the University as representing one of its activities or units. Alternatively, an optional logo is one which represents a liaison between the University and another institution which is not part of The University of Manitoba.

  2. An optional logo is displayed on letterhead as designed. Additions, deletions, obscurations, or changes to its design may not be made.

  3. An optional logotype line may be displayed on the letterhead in a defined position below the optional logo.

  4. An optional logo and an optional logotype line are not given superior prominence relative to the University Logo and Logotype line. Prominence is, in part, determined by size, position, and contrast.

  1. The sample shows the location of the University Logo, its surrounding area, and the University Logotype line. Similarly, the sample shows the location of an optional logo and an optional logotype line.

  2. The sample shows that the University Logotype line, an optional Logotype line, and the line which names a major component of the University are on the same level with respect to the top margin of the sheet.

  3. The sample shows other information which is permitted on letterheads including a position for the display of a single line referring to a special event or an important notice (at the bottom of the letterhead).

Operational Considerations

Design, layout, and printing of letterhead is executed following the provisions of this policy and procedure.

The University maintains a supply of paper to be used for letterhead. The stock is a good quality white bond which has been pre-printed with the University Logo using brown and gold, the University's colours.

  1. Only white bond bearing the two colour logo is used for letterhead.
  2. Supply availability occasionally dictates the adoption of a different quality stock. Stocks are not intermixed during production of letterhead for a single user.

Printing of letterhead involves overprinting the stock (which has been pre-printed with the University Logo) with the additional compositional elements.

    1. Overprinting of the Optional Logo is in any colour or black.

    2. The overprinting of all other compositional elements is in black.
