Continuing Education Off-Campus, Examination Invigilation Policy

Off-campus exam invigilation is an option for students who cannot commute to campus and must write their exam at a local site. Coordination of off-campus exam invigilation is the responsibility of the student and includes locating a suitable invigilator, location, date and time for the exam. Confirmation of arrangements to the CE Administrative Offices is required before permission to write an off-campus exam is given and the examination materials forwarded to the invigilator. Students will be required to pay all fees associated with the off-campus exam invigilation. This includes a non-refundable administration fee of $60 and the costs associated with the invigilators time, where applicable.

Selecting an exam invigilator

It is the student’s responsibility to find a suitable exam invigilator. The following guidelines apply:

1. Invigilators should be a responsible member of the community such as a school, college or university administrator, clergy person, company manager, public auditor, personnel officer, bank officer, lawyer, police officer or accountant.
2. The invigilator cannot be a relative or close personal friend of the examinee.
3. The invigilator must be willing and available to invigilate the exam on the approved date and at a suitable location.
4. The invigilator must be willing to provide their contact information to Continuing Education as indicated on the Application Form for Off-Campus Exam Invigilation.
5. The invigilator must be able to receive the examination materials which will be mailed directly to the invigilator.
6. Students are responsible for the fees associated with the invigilator’s time.

Approval of a request for an off-campus examination is based upon a number of factors:

1. Receipt of a completed Application Form for Off-Campus Exam Invigilation.
2. Continuing Education’s (CE) ability to locate an instructor who is available to prepare and mark the exam.
3. Suitability of the invigilator and approval of the invigilator by a CE designate or authority.
4. Acceptance and confirmation of availability from the invigilator.
5. Suitability of an examination date and location.
6. Receipt of all documents.
7. Receipt of all fees.

The examination will be approved and confirmed with the examinee only after all the requirements as noted in the above bullets have been met.
