Volunteer Opportunitites
Volunteers are essential to the success of our HLHPRI Research Day. In return for your help, student volunteers receive a number of benefits including:
  • Complimentary t-shirt -- to be the envy of all Research Day goers!
  • Complimentary lunch (must be wearing your t-shirt and/or name tag)
  • Unique networking opportunities such as the 'Meet the Researcher Wine & Cheese' where you can meet with researchers, future colleagues, and employers.
  • Hands-on experience with researchers, practitioners and professionals

The volunteer duties will provide a unique opportunity to interact closely with Research Day attendees including fellow students, professors and potential colleagues and employers.

Qualifications:

  • Volunteers must complete a volunteer application (PDF) or volunteer application (MS Word) form. (For the latest version of Adobe Reader, please click HERE)
  • Volunteers should be undergraduate, Master's, or PhD students during the 2012-2013 academic year. Non-students are also welcome to volunteer.
  • All students, regardless of discipline, are encouraged to apply.
  • No experience is required, but we are looking for enthusiastic, reliable people.
  • Volunteers must commit to a minimum of 5 hours (in total) before, during, and/or after Research Day.
  • Please dress in a professional manner for the day. Business casual wear is acceptable. Keep in mind that you will be wearing a Research Day t-shirt over top of you clothes.
  • Regardless of your assignment, you are asked to act as a host and assist attendees in any way possible throughout the day.
  • If a Research Day attendee raises any questions or concerns that you are uncomfortable handling, you should ask the person to accompany you to the Registration Desk and ask to speak to an HLHPRI staff member for resolution of the matter.
  • Lunch - if you work a minimum of 5 hours, lunch will be provided in E2-223 for volunteers, poster judges, and organizing committee members.
  • If you do not have an assignment during a particular time slot, you are encouraged to attend sessions during that time period to maximize your Research Day experience.

Volunteer Task Descriptions

Pre-Research Day Preparations:

You will help with preparations for Research Day by assisting with name tags, assembling delegate bags, and preparing other conference materials. These tasks will be completed on May 13 & 14, 2013.

Research Day Set Up/Host:

You will be asked to assist with preparing for Research Day in the early morning of May 15, 2013. To set up , you will be asked to post signage such as directional signage, concurrent session room listings, agendas, research posters signs, etc. As Host, you will be asked to assist attendees with directions (i.e., to session rooms, washrooms, elevators, research posters, refreshment area, directions on campus, etc.), provide information about events, help usher attendees into rooms, etc.

Registration Desk:

You will be asked to distribute nametags, programs, delegate bags and any other handouts to attendees who are registered. The HLHPRI Staff at the registration desk will explain your duties.

Concurrent Session Room Host:

You will be asked to greet the presented, ensure the presented has everything needed for his/her presentation, contact IST with any AV equipment difficulties, provide the presenter with information from the "Presenter Folder", provide the presenter with notice about time left in the presentation to help keep everyone on time, and facilitate the question and answer period.

Research Poster Assistant/Refreshment Break Monitor/Floater:

As the 'Research Poster Assistant', you will prepare each poster board (assign a number and list title of poster) and assist students and research affiliates with posting their research poster on the correct poster board. During refreshment breaks, you will help monitor the refreshment tables. HLHPRI staff will also be on hand to assist. As a 'Floater', you will assist Research Day Staff wherever needed.

Post-Research Day Assistant:

You will be asked to enter evaluation data into a spreadsheet for analysis, sort through conference materials, and assist with preparing a report of the Research Day event.
