Aurora Student timetabling and registration

Now that you know which courses you are going to take, and thought about your workload, it's time to plan your timetable and register for courses.

It's now time to introduce you to the magic of the online Aurora Student system.

The next section of the Ag Tutorial will take you through the following functions in Aurora Student:

  • how you login to Aurora Student and change your PIN;
  • determining your initial registration time;
  • searching for courses;
  • building your timetable;
  • registering for courses.

Click on the Aurora Student link on the U of M home page. This will take you to the Aurora Student home page.

Click on the Current Student tab. Under the column titled Online Services click on Aurora Student. This will take you to the Aurora Student Login Page

Click on "Enter Secure Area" to bring up the Login Page displayed below. You will be asked to login with your student number and your PIN.



Enter your 7 digit student number, which is located on your Letter of Acceptance.

For first login, your 6 digit PIN has been automatically set as your birthday, and is to be entered in the order YEAR, MONTH, DAY (YYMMDD). So, if your birthday is April 24, 1990 you would enter 900424. Once you have successfully logged into Aurora you should change your PIN to something else other than your birthday for security reasons.

When you have entered your information click on Login. The first time you login you will be taken to the Aurora Login Verification page.

Aurora Login Verification will ask you to create a security question and answer. This is done in case you forget your PIN, (remember you are going to be creating a new PIN, other than your birthday). If you do forget your PIN, you will be able to click on "FORGOT PIN" on the login page and get your security question. If you answer the security question correctly you will be able to reset your PIN, and gain access to your information. Only you should know the answer to your security question.

Sample questions include: What was my first pet's name? Where was my Dad born? Who was my Kindergarten teacher?

In this example the security question is "What high school did I go to" and the answer is "Winnitoba High School".

It is very important to keep both your PIN and your security question private. If other people know your student number and PIN number, or your security question, they will have access to your university records, including your address, what courses you are registered in, and your final grades among other things.




The first time you login to Aurora Student you will be asked to read over the "Terms of Usage." Make sure you read and understand the "Terms of Usage" before you press Continue.


Once you have agreed to the "Terms of Usage" you will see your personal Main Menu.

It will say Welcome, and your name. In our example we are using a fictitious student named Donna Martin.

The options on the personal Main Menu screen include "Personal Information", "Enrolment & Academic Records" and "Ask UManitoba".

For this tutorial we will be reviewing the information in the "Personal Information" and "Enrolment and Academic Records" menus. First, let’s look at the "Personal Information" menu.


A variety of functions are available in the "Personal Information" menu. The first time you enter Aurora Student, we strongly encourage you to come to this menu so you can select "Change your PIN". It is important to change your PIN from your birthdate. Choose a new 6 digit number that is unique and that no one can figure out.

Other options available to you on the "Personal Information menu" include the option to:

  • Change your security question.
  • View and update your mailing addresses and phone numbers – make sure the U of M has all of your up to date contact information. If you applied with one address but will be living at a different address during the school year, make sure to update that here.
  • View and update your email addresses – check out which email we have on file for you.
  • View and update your emergency contacts - if you’d like to have someone as a contact in case of emergency, that’s where you add it.


From here we will go back to the "Enrolment & Academic Records" menu on the Main Menu and show you how Donna will determine her initial registration time.

The "Enrolment & Academic Records" menu has a number of options. If you are a new Agriculture Diploma or Degree student the option you will be most interested in now is "Registration". The other options will be of interest to you once you have completed some courses.


The "Registration" menu includes a number of options that you will be utilizing to complete the registration process.

As soon as you have been admitted and have completed the Ag Tutorial, you can begin registering for classes.

To check your registration time, click on Registration Time and Status. You can use the registration system 24 hours a day, 7 days a week.



Now that Donna knows her Initial Registration Time she can begin to plan her schedule.

Returning to the "Registration" menu Donna can click on Look Up Classes to create her "ideal" timetable.


Selecting "Look Up Classes" takes Donna to the "Select Term" screen. In Aurora, you must first select a term before searching for courses. Remember, you will be selecting your Fall term courses for the Fall and your Winter term courses for the Winter. If the course CRN begins with a "1" it is a Fall term course. If the course CRN begins with a "2" it is a Winter term course.

Remember if you are registering for courses during our July course registration period you'll actually be searching for courses in the Fall term first. Once you have selected your Fall term courses, you will want to begin registering for your Winter term courses.


After selecting Fall followed by the upcoming term (e.g. Fall 2011) that you are registering for, the following screen will appear.

There are a number of criteria that you can use to search for courses. The only criteria you must select is the "Subject" from the first menu. After selecting the "Subject" you could click "Get Courses" and all of the courses offered in that term, by that subject, would be provided.



If you know the subject and specific course number that you are searching for, you can enter the 4 digit "Course Number" after you have entered the subject.

Some other search criteria include: instructor, classes offered during a certain time and/or day, distance education, and W and M requirements.

In our simulation Donna will search for courses by the "Subject" Religion.

Here are some of the results for Donna's search for Fall 2008 Animal Science courses.

Look at the first course - ANSC 0680 - Dairy Cattle Production & Management.



The first column says NR which means Donna is not eligible to register for this course yet. Why? Because her initial registration time has not yet begun. Although Donna cannot register for any courses she can still use Aurora to find out when they are offered and plan her timetable. She should write down the course number ANSC 0680, the Course Registration Number (CRN) 10298, and schedule the course on her timetable planning form. With this information she can select other courses and continue building her timetable. With the CRN information she will be able to register in the course once her registration access time begins.

The search results screen also provides information such as course title, credit hours, course instructor and location.

Below is an example of another Aurora Student search result. Here's the result Donna gets from a search for Chemistry as her "Subject" and typing in 1300 for "Course Number".



You'll notice that CHEM 1300 is a course that has multiple offerings, so Donna must decide when she wants to take this course.

Also notice that CHEM 1300 is a course that includes a lab component.

The results for CHEM 1300 include more than one section starting with an 'A' and more than one starting with a 'B'. The 'A' sections are telling Donna the information for the lecture portion of the course and the 'B' sections are giving her the information on the lab portion of the course. Donna should add both her selected lecture and lab CRNs to her timetable planning form.

You should be choosing your courses and planning your timetable before your initial registration time. That way when it's your time to register you are all ready to go!

You should be choosing, timetabling and registering for both your Fall AND Winter term courses during your initial registration time.

Before her initial registration time started, Donna finished planning her timetable. She kept track of all of her course numbers and their CRNs on her Timetable Planning Form.

After her initial registration time begins, she can login to Aurora Student, go to the Enrolment and Academic Records menu, then click on the Registration menu, and then Add or Drop Classes to begin registering.


Here is the Add or Drop Classes page. Donna has typed in the CRN for ECON 1200 (11090) in the Add Classes Worksheet. She must now click on Submit Changes and Aurora Student will attempt to register her in that course.



Although it appears that you can type in multiple CRNs on this Add Classes Worksheet, you can only enter one course CRN and its lab CRN, (if applicable). You cannot add more than one course CRN at a time.

The other way to add a course:

When it is your Initial Registration Time you can do a course search again to find your courses. There will be an empty checkbox next to each search result. You may then check the box of the section you want to add, then click on REGISTER at the bottom of the page. Make sure if you're adding a course that requires a lab that you check off both your desired lecture section AND lab section before clicking on REGISTER.



As Donna successfully registers for courses, her current schedule will appear. This screen shows that she has now successfully registered in 2 courses.

However, Donna has also received an error. She was not able to register for ABIZ 4500 (Agribusiness Strategies) because of a "College Restriction". This course is only for students who are in the Agricultural and Food Sciences faculty - she's not there yet! It's also a 4th year course.



There are many reasons why you may not be able to register for a course. It could be that you don’t have the prerequisite, there could be a timetable conflict, it could be that you didn’t add a lab with a lecture, etc. Whatever the reason may be, Aurora will tell you. If you’re not sure of what the error means, write it down, and contact the Student Services Office, Room 160 Agriculture Building, for help.

If you want to drop any of these courses, click on Add or Drop classes under the Registration menu. By clicking on the drop down menu under ACTION, you will see an option to Web Drop (during the revision period) and Voluntary Withdrawal Web (after the revision period). Please take note of the Voluntary Withdrawal (VW) deadlines for both Fall and Winter terms. Once Donna is happy with her schedule, she can get an idea of what her week looks like by clicking on “Week at a Glance” back on the Registration Menu screen. Other things to look at on the Registration Menu screen are: course detail schedule and fee assessment.

Having your fees assessed by Aurora will officially complete your registration. Here is an example of the fee assessment screen.

Please notice the UMSU Health and Dental fees. All U of M students are automatically enrolled in Health & Dental care plan. If you currently have coverage under other plans (a parent’s or a spouse’s), you can opt out of the UMSU Health & Dental plan and those fees will be reimbursed to you after you pay your tuition. How do you pay your fees?

Now that you know how much you owe in tuition fees, how do you pay them? You can pay using several different methods:

  • Cash or Cheque
  • Interac/Debit
  • On-line banking with your bank


  • For more information on methods of payment, visit the Registrar's Office Fee Payment website.

    The only way you cannot pay for tuition is with credit card.


    When do you have to pay your fees by?

    Degree Students

    Fall Term 2011 - fees due by Wednesday, September 7, 2011 (4:30 pm)

    Winter Term 2012 - fees are due by Thursday, January 5, 2012 (4:30 pm)

    Diploma Students

    Fall Term 2011 - fees due by Friday, September 16, 2011 (4:30 pm)

    Winter Term 2012 - fees due by Thursday, January 5, 2012 (4:30 pm)

    Please note that students will not receive an official fee statement in the mail. Make sure to pay your tuition fees by the fee deadlines listed above. It is important to pay on time to avoid late fees, holds to your student account or possible deregistration from courses.
