For booking appointments, what set up is involved?

Bookings can be scheduled and staffed in two different ways. The first way is by the customer using a standalone booking page or a booking page that you add within a part of your website. The other way is for you or one of your employees to enter the bookings manually, such as when a customer calls for an appointment. For more information, see Create a manual booking.

How do I add a staff to a booking site?

Although Bookings is a feature of Microsoft 365, not all your staff members are required to have a Microsoft 365 account. All staff members should have a valid email address so they can receive bookings and schedule changes.

Who can use Bookings?

Microsoft Bookings is available to all faculty and staff who have the Microsoft A3 Licence. Office 365 admins now can require that employees in their organization opt-in before their availability information is shared through Bookings and before they can be bookable through a booking page. When an admin chooses to make this a requirement, by clicking the appropriate toggle in the Office 365 Admin Center, employees added as staff in booking calendars will find an Approve/Reject link in the email notification they receive.

I can’t add a staff member in Bookings

The Staff page in Bookings is where you create your staffing list and manage staff member details such as name, phone number and email address. You can also set working hours for each staff member from here. Although Bookings is a feature of Microsoft 365, not all your staff members are required to have a Microsoft 365 account. All staff members must have a valid email address so they can receive bookings and schedule changes.

  1. Go to the Manage staff page and select Add staff.
  2. Select Add Staff.
  3. When adding staff from within your organization, type their name in the Add people field and select them when they appear in the drop-down menu. The other fields will automatically populate.

Microsoft 365 is designed to work best with Microsoft 365 Apps for enterprise for Windows and Mac. Previous versions of Microsoft 365 (formerly called Office) such as Office 2013, Office 2010, Office 2007 and Office for Mac 2011 are not supported, please upgrade to Microsoft 365 Apps for enterprise

For the best security and functionality, keep your web browser up to date. All modern browsers should update automatically, but please make sure your browser has auto-updates enabled. 

For information on which browsers, Microsoft clients and apps are supported for Microsoft 365, please visit the Microsoft 365 System Requirements page on the Microsoft website.

Delete a Bookings calendar

How can I delete a Bookings calendar?

Only an administrator can delete a Bookings calendar.

If you want to temporarily remove access to your Bookings calendar, please follow these steps to unpublish your calendar (shared links to your Booking page will not work until you re-publish the calendar):

  1. Classic Bookings
    • Browse to the Bookings page and select Unpublish at the top of the page.
  2. New Bookings
    • Browse to the Booking page under Settings.
    • Click the down arrow (v) under Configure booking page.
    • Select No self-service and then Save at the top of the page.

Request to delete a Bookings Calendar

To have a Bookings calendar deleted:

  1. Remove the staff.
  2. Remove access to the calendar using the steps above.
  3. Then, create an IT ticket to delete a Bookings calendar. In your ticket:
    • Identify that you would like to delete a Bookings calendar in the Short Description.
    • Include the name of the Bookings calendar you would like deleted in the Details/Additional Info box.
