UM Libraries does not normally accept donations of materials (gifts-in-kind) for the general library collection. This includes books, magazines, journals, and multimedia items. In exceptional circumstances, we may consider items which support the teaching and research goals of the University.

UM Libraries guidelines for gifts

The solicitation, acceptance and processing of gifts will be guided by the following principles:

  • The Libraries welcomes donations of money for the purchase of material to be added to the collections or for other purposes. The selection of material to be acquired from donated funds remains the responsibility of the Libraries. The Libraries works with the University’s Donor Relations office in the matter of financial gifts.
  • Given the transition to electronic information, the scarcity of physical space, and the costs associated with accepting and processing gifts, the Libraries will not normally accept in-kind donations for the general collection. Gifts-in-kind are non-monetary donations, including but not limited to books, serials, manuscripts, and non-print research materials. This does not apply to donations to Archives & Special Collections.
  • The Libraries may, in exceptional circumstances, consider accepting in-kind gifts for the general collection which support the teaching and research goals of the University. These decisions will be made in consultation with the Collections Team.
  • The Vice Provost (Libraries) & University Librarian will be advised of any potential gifts of significant size or content. 
  • Any gifts of materials are accepted with the understanding that their ownership is transferred to the University of Manitoba and that the Libraries reserves the right to determine the retention and disposition of all such gifts.
  • The Libraries will initiate internal or external appraisals only for materials donated to the Libraries and as appropriate for charitable donation income tax purposes. In all cases, appraisals will be carried out in accordance with Canada Revenue Agency regulations and guidelines. The Libraries does not participate in the appraisal of donations to other University of Manitoba departments.
  • Gifts-in-kind should not be accepted for the Libraries by any agency of the University except the Libraries itself.
  • While recognizing the value of acknowledging donations, the Libraries no longer provides bookplates or catalogue notes for gifts-in-kind donations and items purchased with monetary donations. Gift Grant and Endowment funds that have existing agreements as of 2025 that require bookplates will be honoured.
