Student procedures and obligations

Here’s what sponsored students need to know.

  • Students require form submitted before registration

    In order to have your student fees paid by a third-party organization such as a First Nation, employer or government agency, before you can register, you must have your sponsor submit the Student Sponsorship Authorization form to Extended Education Student Services.

  • Students are responsible to ensure payment

    As a sponsored student, the sole and final responsibility for payment of your account lies with you. If your sponsor fails to remit the sponsorship payment of fees, you will be subject to University of Manitoba’s standard collection proceedings which includes but is not limited to:

    • account holds, denied access to administrative and academic services
    • late payment charges
    • inability to register in additional courses until outstanding fees are paid

Sponsoring organization procedures and obligations

Here’s what sponsoring organizations need to do.

  • Submit form to authorize fee payments

    As a sponsoring agency, you must complete the Student Sponsorship Authorization form for your sponsored student and submit it before registration in each academic term. 

    On the form, please indicate the terms/application fee you will cover with a check mark. Should there be any changes to sponsorship information, authorized coverage, or if you sponsor additional student(s), a new form must be submitted. 

    The form authorizes University of Manitoba Extended Education to invoice you for applicable fees for the student(s) listed.

  • Pay student fees

    Payment is due upon receipt of the invoice. If payment is not received, late payment penalties will be applied on a per-student basis:

    • If payment is not received within 30 days of billing, a hold will be placed on the sponsored student’s account that prevents further registration, release of grades or transcripts and other administrative and academic services.
    • If payment is not received within 90 days of billing, sponsorships for future terms will not be accepted until the account is paid in full and a deposit for future terms is received.

Any restrictions or contingencies on sponsorship authorization are not allowed. For example, if the sponsor requires proof of attendance, grades, transcripts or notification of class withdrawals before paying, the university will not authorize the third-party billing. In such cases the student is responsible for paying their fees and should request reimbursement from the sponsoring agency.

Pay for textbooks and supplies 

If books and supplies are included in the sponsorship, you must also submit a Course Materials Sponsorship form directly to the UM BookStore by email or fax.
